Terms & Conditions
These terms explain how our events work, what you can expect from us, and what we expect from you when you book and attend an event. We want our events to be enjoyable, inclusive and adventurous, and they involve travel, running and other activities, so there are some important things to know before booking. By booking an event with us, you confirm that you have read and understood these terms and agree to follow them.

1. Booking your event
When you book, you will provide the information we need to process your booking. Your place is confirmed once we have accepted your booking and sent you a booking confirmation.
If we cannot offer you the event you requested, we will either suggest a suitable alternative or refund your deposit.
Who can attend?
You must be over 18 years and have the physical condition required for the chosen trip.
2. What is included?
Your event includes the accommodation, activities, social elements and local support described on the event page. Unless specifically stated otherwise, your event price does not include:
- Flights
- Travel insurance
- Visas
- Vaccinations
- Taxes or government charges
- Personal spending money
- Travel within the destination country
- Activities or services that are not specifically included in the event description
If you need accommodation before or after the official event dates, we may be able to arrange this for you, subject to availability and an additional charge.
3. Payments
You pay a 50% deposit when you book the event. Once the first payment is received, your spot is reserved and you can start counting down the days. The remaining balance must be paid upon arrival at the event, preferably in cash.
4. Changes to the event
Adventure travel does not always go exactly to plan. We may need to change parts of an event, including accommodation, timings, locations, distances or the schedule. Changes may happen because of weather, local conditions, safety concerns, availability or other circumstances outside our control.
We will make reasonable efforts to keep the event as close as possible to the original plan and will let you know about important changes where we can. In rare circumstances, a significant change before the event may mean that you can move to another event or receive a refund of the event fee paid.
Changes made during an event because of circumstances outside our control will not normally result in a refund.
5. Flights and other travel
You are responsible for arranging your own flights and making sure your travel plans work with the event dates. Your flight dates may fall outside the official event dates.
You are also responsible for making sure that your passport, visa and other travel documents are valid and suitable for the trip. If you need a visa, it is your responsibility to apply for one in good time. We cannot guarantee that a visa application will be successful.
6. Insurance
Travel insurance is required for all participants. Your insurance should cover, as appropriate:
- Medical treatment and hospital costs
- Emergency assistance
- Repatriation
- Cancellation and curtailment
- Personal accident
- Personal liability
- Rescue
- Travel delays
- Activities included in your event
Your policy should also cover you for at least two weeks beyond the planned end of the event. You may be asked to provide evidence of your insurance before travelling. Please check your policy carefully rather than assuming that all activities are automatically covered.
7. Health and safety
Our events involve running, travel and adventure activities. These activities carry some level of risk. You are responsible for looking after your own health and wellbeing and for telling us about any medical condition that could affect your ability to take part.
If we have concerns about your ability to safely participate, we may ask you to provide medical information or confirmation from a medical professional. You should tell the local coordinator promptly if you become unwell or injured.
Medical facilities in some destinations may not be the same standard as those you are used to at home. You should only take part in activities that you feel are appropriate for you and that are covered by your insurance.
We will do our best to help if something goes wrong, but we cannot control every risk associated with travel, weather, sport or local conditions.
8. Things outside our control
Sometimes things happen that nobody can reasonably prevent or predict. These might include:
- Extreme or unsuitable weather
- Road closures
- Transport problems
- Accommodation issues
- Border closures
- Government restrictions
- Civil unrest
- Strikes
- Illness or outbreaks
- Fire
- Mechanical problems
- Changes to local conditions
If something like this happens, we will do our best to support you and make sensible arrangements. However, we cannot promise that the original itinerary will always be possible. This is part of the nature of an adventure event.
9. Cancellations and moving your booking
Our events involve significant costs in advance, so cancellation rules depend on when you cancel, and all cancellations need to be sent with medical proof that you are ineligible to participate.
If you buy our cancellation protection when booking, you will receive a full refund if you cancel within 4 months before the event. You will receive a 50% refund when you cancel 2 months before, and no refund will be given less than 45 days before departure. Only those with the cancellation policy can transfer their booking to another event two months before the start date.
If you leave an event early for personal reasons, we will not be able to provide a refund.
If we have to cancel an event before it starts, other than because of circumstances outside our reasonable control, we will refund the event fee you have paid. If an event has to be cancelled because of circumstances outside our control, we will refund whatever remains after covering reasonable costs that we have already incurred.
10. Your responsibilities during the event
We want everyone to have a great experience. That means everyone needs to play their part. During the event, you agree to our code of conduct.
11. Behaviour
We have a zero-tolerance approach to illegal drugs. We also expect everyone to behave responsibly, including when drinking alcohol. Racist, sexist, abusive, threatening or seriously disruptive behaviour is not acceptable. You must not put yourself or anyone else in unnecessary danger.
If there is a serious problem with someone's behaviour, we may ask them to leave an activity, the event or their accommodation. In serious circumstances, they may also be required to leave the country. If you are asked to leave because of your behaviour, we will not provide a refund.
Our team may also stop you from taking part in an activity if they reasonably believe that doing so would put you or someone else at risk.
12. Complaints
If something isn't right during your event, please tell the local coordinator as soon as possible. Giving us the opportunity to deal with a problem while you are still at the event usually gives us the best chance of fixing it.
If the issue cannot be resolved during the event, please contact us in writing within 30 days of the event ending and explain:
- Which event you attended
- What happened
- What you believe went wrong
- What you think would be a reasonable way to resolve it
We will review your complaint and aim to respond within 14 working days.
13. Photos and videos
We may take photographs, videos or other content during our events, and may use this material to promote our events and the brand.
If you do not want us to use images or videos in which you appear, please tell us in writing or by email. If you later see material that you believe is inappropriate or could seriously affect your reputation, please let us know and we will review it and take reasonable steps where appropriate.
14. Website use
Our website is intended to provide information about our events and services. We try to keep the information on the website accurate and up to date, but details can change, and we may update, change or remove parts of the website from time to time.
You must not use the website to:
- Break the law
- Upload harmful software
- Post abusive, offensive or threatening material
- Infringe someone else's copyright or other rights
- Mislead other users
- Prevent other people from using the website
The content, branding, photographs and other material on the website belong to us or our content partners and should not be copied or reused commercially without permission.
15. Third-party services
Some parts of your trip may be provided by other companies, such as accommodation providers, travel companies or local activity providers. Where another company provides a service directly to you, their own terms may also apply.
We will do our best to work with reputable suppliers, but we cannot control every service provided by an independent third party.
16. The nature of adventure travel
One of the reasons people come on our events is for the adventure. That also means accepting that things will not always go exactly according to plan. Weather can change. Roads can close. Accommodation can become unavailable. Activities can be changed or cancelled. Travel can be delayed.
There are also risks associated with running, travelling and participating in outdoor activities, including the possibility of serious injury or, in extreme circumstances, death. You should understand these risks before booking and take responsibility for your own decisions and actions.
We will always aim to run our events safely and responsibly, but we cannot remove every risk.
17. Our legal responsibilities
Nothing in these terms is intended to remove any rights or protections that you have under applicable law. Where the law requires us to accept responsibility for something, these terms do not change that responsibility.
18. If something in these terms doesn't apply
If a particular part of these terms is found not to be valid or enforceable, the rest of the terms will continue to apply.
19. Questions
Please read these terms before booking. If anything is unclear, ask us before you pay your deposit or book your event. We're happy to explain how any part of the booking or event works.
Still have a question about these terms?
We'd rather explain it now than leave you guessing before you book.
